Office and Facilities Manager

job purpose:  The Office and Facilities Manager will foster and encourage a professional and fun work environment that is employee-centric and delightful while applying a high degree of professionalism, initiative, and independence in supporting the Office for all necessary facilities and office management responsibilities.  

responsibilities:

  • Responsible for Office & Facilities budget: Applies initiative, proactive planning, situational awareness and attention to detail to make certain the Company optimizes budgets focused on facilities and office management
  • Responsible for resolving escalated problems and issues related to office/facilities (both internal and external) matters that are beyond the scope of authority of the Office Admin
  • Maintains policy compliance relating to office (ex: dogs, conference rooms, etc.)
  • Manages overall relationships with third-party vendors and building management/landlord (including but not limited to utilities, HVAC, internet and data communications, janitorial, parking)
  • Manages third-party IT services relationship at owner level, handle escalated IT issues and own deployed hardware and software inventories
  • Procure and manage contracts for local travel arrangements including hotels, catering, car rentals, etc.
  • Manage collective office seating regarding capacity and assists Office Admin (if needed) with new employee onboarding, including preparing workstation, scheduling tech setup, etc.
  • Partners with Executive Admin to plan office and/or Company events, including set-up and clean-up support
  • Own relationships with local community representatives, including Alderman, and other local West Loop organizations. Serve point-person for local community events, partnering with Community Engagement Manager as needed
  • Lead/Manage the Office Admin; serve as back up to the Office Admin as needed
  • Responsible for the overall safety and security of staff and building

skills/qualifications required:

  • 7+ years of office or facilities management experience required
  • Bachelor’s Degree or equivalent preferred
  • Proven ability to lead, collaborate, analyze, and make important judgment calls
  • Strong attention to detail and the ability to manage multiple responsibilities and priorities while adhering to deadlines
  • Strong written and verbal communication skills
  • Strong understanding of AV and IT
  • Previous experience managing direct reports
  • Ability to handle ambiguity and work in a fast-paced, entrepreneurial environment
